Corporate Title: Corporate Services Manager, Pan Asia

The Department

The Global Corporate Services Department is based in London and Denver where the majority of Janus Henderson’s employees are located. It provides Facilities Management (FM), Corporate Real Estate (CRE), procurement and Travel / Expense Management for all 31 of Janus Henderson’s global offices across EMEA, the US and Pan Asia.

Overview of the Role

Based in Janus Henderson’s Singapore office, this role will lead and oversee the day to day management of Corporate Service functions which includes Facilities, CRE, Travel and Expense and Procurement and oversight of various suppliers and associated regulatory requirements throughout our Pan Asia footprint (7 offices).

This is a newly created role which recognizes Janus Henderson’s significant growth across the Pan Asia region over the past 2 years and the strategic objective of the business to continue this growth. Currently, FM/CRE/Expenses and Procurement are coordinated by the individual offices with Global Corporate Services directly overseeing lease management and office project activities. The intent is to have professional oversight at regional level which supports local senior management whilst at the same time ensures consistency in approach. It will also leverage off the Global Corporate Services team where required.

The Corporate Services Manager, Pan Asia will be responsible for directing and managing functions and vendors that support all Pan Asia workplaces in an efficient and cost effective manner. He/she will also serve as an extension of the Procurement department in support of supplier contracts, buy side events and on-going oversight as well as manage Travel and Expense Policy and processing, including agency oversight and T&E audit and assistance.

The successful candidate will be responsible for managing vendors and service providers, initiating and contributing to regional projects (working in with relevant global teams) and must be able to deliver results at a high level, ensure client satisfaction and develop positive relationships across the Firm.

Duties and Responsibilities

Facilities

  • Manage and oversee the delivery of specific facilities services across all offices within Pan Asia and ensure that the office standards and client service levels are maintained at all times

  • Direct and monitor day-to-day management of workplace resources service providers and functions

  • Leads and coordinates facilities projects, equipment acquisitions and installations for the Pan Asia offices, including internal office moves, relocations, and space planning efforts

  • Partner with service providers and senior management on office buildouts/renovations including coordination and management of contractors, consultants and vendors

  • Assists with the coordination/execution of real estate activities with senior management, including leasehold acquisition and disposal matters, the review of office lease agreements and the oversight of lease audits as assigned

  • Directs and oversees outside contractors and suppliers of all outsourced facilities services ensuring superior performance

  • Manage preventative maintenance schedules, direct building audits, maintain a safe working environment and comply with local building codes, life safety, and OSHA/ADA regulations

  • Monitor/track FM/CRE OE expenses, review and approve invoices, and analyze variances for Pan Asia offices

Travel and expense management

  • Liaise with the global travel and expense team to ensure that our employees have support with regards to travel and expense reporting functions, which will include staff training and being the primary travel contact within Pan Asia for staff

  • Being the primary contact for travel suppliers, with on-going relationship management and oversight

  • Provide audit support and regional enforcement of the global travel and expense policy.

  • Assist in corporate card management, distribution, processing and issue resolution

Procurement and outsourcing

  • Liaise with the global procurement team to process local purchases, and provide contracting support for regional agreements.

  • Ensure proper delivery for contracted goods and services purchases

  • Relay vendor management questions, issues and opportunities to the vendor management team

  • Assist in payment processing for local vendors using available tools (procurement card, etc.)

  • Ensure that outsource providers in Singapore operate within the framework of the Singapore Outsourcing Guidelines, including taking responsibility for the organization of the Singapore Outsourcing Committee and relevant approvals

  • Ensure all other regulatory requirements within Pan Asia for outsourcing are complied with as relevant from time to time

General

  • Ensure all relevant company policies, procedures and work practices are adhered to

  • Engage Finance and Accounts Payable to resolve payment and invoicing issues

  • May be contacted outsides office hours as business needs require Regular communication to local management and reporting on issues as they arise

Technical Skills and Qualifications

  • Bachelor’s degree or equivalent education

  • Significant experience in a corporate vendor management role - Facilities, Travel and Procurement experience preferred

  • Strong client relationship management background, good team player with internal and external partners

  • Experience in incident and risk management

  • Able to track costs and manage spend within budgets in relation to complex lease, service provider and other operational costs

  • Knowledge of landlord and tenant relationships and commercial leases, and experience with facilities management matters in Pan Asia

  • Strong working knowledge of MS Office: Word, Excel, Project and PowerPoint

  • A strong understanding of procure to pay processes

  • Aptitude for contract negotiation, management and enforcement of terms
