Title: Team Assistant
The operations team oversees back and middle office service delivery to the Investment Managers and other internal clients. The operations team support Janus Henderson’s business and facilitates growth by delivering a high-quality and cost effective service.
Overview of the Role
To provide administrative support to London based members of the Global Operations team.
The successful candidate will act as an ambassador for the function, being a first point of contact for the Global Operations team in London.
Duties and Responsibilities
Specific responsibilities will vary from time to time to respond to business priorities, requiring a degree of flexibility from the role-holder. Prioritisation will be supported and overseen by the business manager.
Duties and responsibilities are likely to be as described below:
Diary management, prioritising and filtering out non-essential meetings
Arranging internal and external meetings, conference and video calls
General secretarial and administrative support, including but not limited to: typing, PowerPoint presentations, telephone coverage and travel arrangements
Provide secretariat support to key team meetings as required. To include agenda setting, room bookings and meeting scheduling. This might include attendance at key meetings and is likely to include minute taking/action tracking
Arranging team meetings, coordinating global attendees to ensure optimum time slots; logistics planning including set up and management of video-conferencing as required
Travel booking and management
Support on specific initiatives where extra administrative support is required (examples might include administration required to engage third party consultants, etc.). This might include periods of significant meeting planning
Assumes additional duties as assigned.
Technical Skills and Qualifications
Previous secretarial or administrative experience within a Financial Services environment
Advanced Word and PowerPoint, Intermediate Excel and competent at learning new IT applications
Good analytical skills and be able to present clear written and verbal reports and minutes
Excellent communication skills
Proactively able to build relationships both internally and externally; a real team player able to succeed in a busy and dynamic team environment
Good planning, organising and prioritising skills essential - ability to meet tight deadlines, juggling multiple demands – being adaptable and flexible to meet the needs of the team
Strong attention to detail
Ability to work on own initiative and be proactive to the needs of the team
Discreet and professional at all times
